HR Staffing Portal

Hiring is complicated for any organization. Federal hiring can be especially challenging with the requirements for security clearances and special employment types. For our client within the Department of State, our team’s intention was to streamline a particular Bureau’s hiring process and make it accessible through a central request portal called rOBO.

User Interviews

To understand our target users, we conducted user interviews with the client’s hiring managers and client stakeholders to gain their perspective on the pain points with their current hiring process. The following graphics show the results of those interviews.

Analysis

Based on the interviews, we found two common problems between the hiring managers and the stakeholders:

1. Inefficient communication — Communication between the hiring team and those requesting candidates was carried out exclusively by email, causing confusion and creating duplicate work. All users needed a solution to improve their collaboration in a virtual environment.
2. Poor candidate tracking — Candidates’ qualifications, employment type, and security clearance required external approvals which made them difficult to track.

Goal

We needed to build a staffing platform which could alert hiring managers and client stakeholders alike about updates regarding their candidates’ progress in the hiring process as well as clearly track the required documents and approvals necessary.

Before beginning our sketches, we decided on the features and pages that would be valuable for users based on the research found.

Client Stakeholder | Candidate Requests

We wanted site’s Home page to be as streamlined and simple as possible. Since the client had hundreds of request options and thousands of users, it was important that the Home page quickly got users to where they needed to go.

We wanted the client to be able to select the services related to Staffing needs directly from the homepage. Specific requests have been scrubbed for client confidentiality, but the box highlighted in red is where a user could select ‘Staffing Request’ and then be taken to the associated form.

Once the recruitment request had been submitted, we designed a Workflow Tracker that can be opened from the rOBO Homepage.

The second part of our solution was to provide a Staffing Portal through which the client’s hiring managers could recruit candidates, input their credentials, and move them through the hiring process.
